Description

Overview:
We are seeking a proactive Administrative Assistant with excellent communication skills and strong organizational abilities to efficiently manage multiple tasks. This role is crucial for facilitating smooth operations within the sales department and ensuring effective communication with both clients and internal stakeholders.

Responsibilities:
Sales Support:
Assist in preparing sales materials such as presentations, proposals, and contracts.
Coordinate with the sales team to promptly address leads and inquiries.
Maintain and update customer databases, including contact information and interactions.
Generate reports on sales performance, market trends, and customer feedback.
Schedule appointments, organize meetings, and manage correspondence to support the sales process.
Collaborate with the marketing team to develop promotional materials and campaigns.

Office Management:
Manage office supplies inventory and place orders as needed.
Coordinate office facilities maintenance and repairs.
Ensure office cleanliness and organization to maintain a professional working environment.
Develop and implement office policies and procedures to enhance efficiency and productivity.
Coordinate office events, meetings, and other activities.
Executive Support:
Provide administrative support to executives, including calendar management, travel arrangements, and expense reporting.
Prepare and edit documents, presentations, and reports for executives.
Act as a liaison between executives and internal/external stakeholders, conveying messages promptly and accurately.
Handle confidential information with discretion and maintain confidentiality at all times.
Assist executives in preparing for meetings and presentations.
Customer Service:
Serve as a point of contact for customer inquiries, providing information and assistance as needed.
Address customer concerns and escalate issues to the appropriate personnel for resolution.
Ensure high customer satisfaction through prompt and courteous service.
Cross-Functional Collaboration:
Liaise with other departments to facilitate communication and cooperation.
Support interdepartmental projects and initiatives as needed.

Qualifications:
Proven experience in a sales or customer service environment.
Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and CRM software.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work independently and as part of a team.
Flexibility to adapt to changing priorities and deadlines.

Education:
High school diploma or equivalent.
Additional certification in office management or related field is a plus.
