Job summary

Aqueity is seeking an IT Project Coordinator to assist the projects team in coordinating, scheduling, and administering IT initiatives for clients. Candidates should have strong urgency, professionalism, communication, and organizational skills to work with internal teams and clients.

The role involves coordinating multiple client projects, maintaining ConnectWise records, and ensuring on-time delivery while managing risks and changes in a fast-paced MSP environment.

Qualifications

• Associate degree or equivalent professional experience required.
• Minimum 2 years in a Project Coordinator/Administrator role.
• Experience managing multiple projects in fast-paced environments.
• Experience handling client relationships in a B2B setting.
• Ability to juggle many tasks and meet deadlines.
• Excellent verbal and written communication across audiences.

Responsibilities

• Coordinate client projects from initiation to completion, tracking milestones, timelines, budgets, and deliverables across concurrent engagements.
• Serve as primary client contact, communicating status, risks, and scheduling changes; escalate complex issues as needed.
• Own scheduling and staffing of recurring client onsite visits, ensuring skilled resources and alignment with client contacts.
• Create and maintain projects within ConnectWise with accurate lifecycle records.
• Facilitate issue resolution between internal teams and clients.
• Coordinate with third-party vendors throughout project delivery.
• Collaborate with procurement to align hardware and software delivery with project schedules.
• Monitor scope and flag change orders; ensure established process is followed.
• Coordinate cross-departmental communication around milestones to keep teams aligned.
• Ensure project time is logged correctly for billing; maintain documentation and notes.
• Conduct post-project reviews and document lessons learned.
