Four Seasons Resort Lanai is seeking an Island Activities Coordinator to deliver exceptional guest service by coordinating private charters, tours, VIP experiences, and customized itineraries from inquiry to completion.

You will manage all booking details, communicate pricing and policies, and collaborate with multiple teams to ensure flawless execution of experiences while maintaining Hawaiian hospitality and guest satisfaction.

Qualifications

• Legal work authorization in United States required.
• Ability to stand for extended periods, lift up to 50 lbs, and push/pull as needed.
• Strong admin experience and ability to multitask across systems.

Responsibilities

• Provide exceptional guest service by coordinating private charters, tours, VIP experiences, and customized itineraries from initial inquiry through completion.
• Manage all booking details, including schedules, meeting locations, inclusions, restrictions, special requests, and confidential guest information.
• Promote and sell resort activities, private experiences, upgrades, and add-ons to boost guest satisfaction and revenue.
• Communicate pricing, policies, and cancellation terms accurately while following up to maximize bookings.
• Coordinate daily logistics with guest experience teams, activity providers, transportation, and vendors to ensure seamless execution.

WHAT YOU'LL DO

Island Activities Coordinator delivers exceptional guest service by coordinating and managing private activity reservations, customized itineraries, and VIP experiences. This role serves as the primary liaison between guests, vendors, guides, and resort departments, ensuring seamless scheduling, accurate billing, and flawless execution of each experience while creating memorable, personalized experiences through genuine Hawaiian hospitality, Responsibilities include, but are not limited to:

• Provide exceptional guest service by coordinating private charters, tours, VIP experiences, and customized itineraries from initial inquiry through completion.
• Manage all booking details, including schedules, meeting locations, inclusions, restrictions, special requests, and confidential guest information.
• Promote and sell resort activities, private experiences, upgrades, and add-on services to enhance guest satisfaction and support revenue goals.
• Communicate pricing, policies, and cancellation terms accurately while maintaining strong follow-up to maximize booking conversions.
• Manage activity reservations, schedules, availability, and reporting through Book4Time, ensuring accurate booking and operational data.
• Create and maintain activity offerings, schedules, pricing, capacity controls, and reservation rules to support efficient operations.
• Coordinate daily logistics with guest experience teams, activity providers, transportation, and third-party vendors to ensure seamless execution.
• Monitor operational conditions and provide timely updates to support safe and successful activity programming.
• Process guest check-ins, room charges, payments, and transaction postings in accordance with established procedures.
• Maintain accurate documentation, waivers, manifests, and guest records while ensuring compliance with accounting, cash‑handling, and administrative standards.

WHAT TO BRING

• Successful candidate must possess legal work authorization in United States.
• The hospitality business functions seven (7) days a week, twenty-four (24) hours a day and scheduled days and times may vary based on need. Holidays and weekends availability is required.
• Ability to stand for extended periods, lift up to 50 lbs, and push/pull as needed during shifts.
• Ability to work with multiple systems, demonstrating ability to multitask with strong admin experience.
