Job description

A well-established Boston investment firm is looking for an experienced Investment Team Coordinator to join a collaborative team supporting a group of investment professionals. This is a great opportunity for a seasoned administrative professional who enjoys working in a fast-paced, high-performance environment and being an integral part of a team.

This is not a traditional one-on-one Executive Assistant role. You will provide shared administrative and operational support to professionals at all levels, helping manage priorities and ensuring the team has seamless day-to-day coverage.

Key Responsibilities
  • Manage shared team inboxes and respond to high-volume requests with accuracy and urgency.
  • Coordinate complex calendars, meetings, conference calls, conferences, and industry events.
  • Arrange domestic and international travel, itineraries, and expense reports.
  • Process invoices and expenses and work closely with Accounting and investment professionals.
  • Gather and distribute earnings, financial statements, news, and other time-sensitive investment information.
  • Assist with research and information gathering using financial databases and platforms; Bloomberg experience is a plus.
  • Maintain contacts, databases, files, watch lists, and other team resources.
  • Prepare correspondence and meeting materials as needed.
  • Provide backup support across the administrative team and jump in wherever help is needed.
  • Look for ways to improve processes and create efficiencies across the team.
What We’re Looking For
  • 4+ years of experience in Executive Assistant, Team Assistant, Administrative, or similar support roles.
  • Experience supporting senior-level professionals in a fast-paced environment.
  • Strong Outlook and Excel skills; proficiency with Word and PowerPoint.
  • Excellent organizational skills and exceptional attention to detail.
  • Experience with complex scheduling, travel, expenses, and competing priorities.
  • Financial services experience is helpful but not required.
  • Strong communication skills and professional discretion.
  • A collaborative, low-ego, team-first attitude.
  • Someone who is comfortable working behind the scenes, staying organized under pressure, and understanding that no task is too big or too small.
