CEO Lawyer Personal Injury Law Firm is seeking an Intake Specialist (Full-Time, Remote) to be the first contact with clients. You will handle calls, qualify cases, and support the Intake department to help clients pursue compensation for personal injuries.

You will work remotely, using tools like Dropbox and Filevine, coordinate with the Pre-Litigation team, and participate in daily stand‑ups and weekly/monthly meetings. Weekend/evening shifts in US time are required.

Qualifications

• Must be fully bilingual in English.
• Minimum 3 years of experience in remote sales or intake.
• Experience in personal injury is a plus.

Responsibilities

• Review emails and chats for new leads and requests.
• Organize contracts, letters, and documents on Dropbox.
• Answer inbound calls and chats with strong customer service.
• Route calls to appropriate team members.
• Set up Filevine projects for new clients as needed.
• Record comments, observations, and updates accurately.
• Register new contracts for Filevine entry.
• Follow up on leads and maintain high-quality interactions.
• Conduct intake with potential clients and escalate when needed.
• Complete intake to transfer to Pre-Litigation.
• Send submission emails to Pre-Litigation for new clients.
• Complete clinic referrals considering client location.
• Participate in stand‑ups, dailies, weeklies, monthly meetings.
• Close contracts.

Summary

As an Intake Specialist youwill be our first source of contact with our clients, receiving and making calls to interact with them. In their day-to-day activities, we assist our possible clients in getting compensated for their personal injuries by qualifying their cases and answering any questions they might have.

As a Full-Time Virtual Legal Aide, you will assist our Intake department by following the responsibilities listed but not limited to the ones in this document.

Responsibilities

• Review emails and chats constantly for new leads, file setups, audits, or other requested needs.
• Organize contracts, termination letters, photos, and other documents on Dropbox.
• Answer all the inbound calls, clients, and leads with great customer service skills.
• Transfer calls to the right member of the team when needed.
• Set up Filevine projects for new clients or the tools requested.
• Register all the comments, observations, and updates.
• Review and look for new contracts to be registered into Filevine.
• Follow up on the leads assigned, ensure a great quality interaction, and clean up the old leads.
• Answer new potential clients, ask probing questions, and follow the process to complete the sign-in or escalated the call to an Intake Specialist.
• Complete the intake process of a new client to be transferred to the Pre-Litigation department.
• Send the submission emails to the Pre-Litigation department for new clients to start the case (notification).
• Complete clinic referrals, taking into consideration the client's location.
• Participate in stand‑up meetings, dailies, weeklies, and monthly meetings.
• Close contracts.

Requirements

• Fully Bilingual (English)
• 3 years of experience in remote Sales or Intake.
• Experience in personal injury is a plus.
• Your PC or Laptop (A wired connection to your modem is recommended)
• Headset with noise canceling / quiet place to work in
• This job is remote, and you will be responsible for your local taxes.
• Hiring for weekend and evening shifts (US time) only
