Job summary

SourcePro Search, LLC is seeking an Intake Analyst in New York to support client file management, data maintenance, and reporting within a hybrid schedule (in-office three days, two days remote).

The role requires a Bachelor’s degree (preferred) and 2–4 years of relevant Biglaw experience, with advanced Excel skills (Excel 2007) and familiarity with 3E/Access as a plus. Strong attention to detail and communication are essential.

Qualifications

• Bachelor’s degree preferred.
• 2–4 years of relevant experience, preferably in a Biglaw firm.
• Advanced Excel 2007 skills: Tables, pivot tables, charts, including VLOOKUP, nested IF statements, conditional formatting, and Microsoft Query.
• Familiarity with 3E/Access is a plus.
• Exceptional follow-up skills and attention to detail.

Responsibilities

• Set up and maintain cost exceptions and restricted matter worklists for client files.
• Handle edits for costs and resolve cost-related errors.
• Ensure all required documentation (e.g., client billing guidelines and approvals) is received for incoming clients.
• Maintain a log of needed items and follow up with attorneys and secretaries to obtain missing information.
• Review weekly reports and ensure new timekeepers are added to matter worklists.
• Generate routine and ad hoc reports of client, matter, and timekeeper information for leadership and firm-wide distribution.
• Assist with other Intake-related special projects as necessary.
