Job summary

Vital Care Infusion Services in Franklin, TN is seeking an Intake Coordinator to join the on-site team. You will manage new patient referrals, intake documentation, verify insurance benefits, and coordinate prior authorizations to facilitate timely patient access.

The ideal candidate is organized and detail-oriented, with experience in healthcare administration. Strong communication and problem-solving skills are essential to ensure smooth intake processes and accurate patient information.

Qualifications

• High school diploma or equivalent.
• Experience in healthcare administration, patient intake, medical billing, insurance verification, or a related field; home infusion or specialty pharmacy experience preferred.
• Knowledge of insurance benefits, prior authorizations, medical terminology, and medical documentation.
• Strong communication, organizational, and problem-solving skills with attention to detail and the ability to manage multiple priorities.
• Proficiency in Microsoft Office and electronic health record or pharmacy management systems.
• Ability to work independently and collaborate effectively with patients, healthcare providers, and internal teams.

Responsibilities

• Process new patient referrals and review intake files for completeness and accuracy.
• Obtain prescriptions, medical records, treatment plans, and other required documentation from healthcare providers.
• Verify medical and pharmacy insurance benefits and communicate coverage details and potential out-of-pocket costs to patients.
• Initiate, track, and follow up on prior authorizations, working with insurance companies to resolve issues and prevent delays in treatment.
• Communicate with patients, healthcare providers, insurance representatives, account executives, and pharmacy staff to coordinate timely patient care.
• Maintain accurate records of patient information, referral status, authorizations, and communications in pharmacy management and electronic medical record systems.
• Monitor outstanding cases, complete timely follow-ups, and elevate issues that may affect patient access to care or reimbursement.
• Provide clear, compassionate customer service by guiding patients through the intake process and addressing questions or concerns.
• Follow established procedures and applicable privacy regulations when handling patient information.
• Identify documentation gaps and opportunities to improve intake accuracy, efficiency, and the overall patient experience.
