Job summary

Rubicon is seeking an Intake Coordinator (temporary through June 2027) to coordinate eligibility assessment, enrollment, and referrals across the CCWC network in Contra Costa. Reports to Site Manager and ensures consistent eligibility practices and timely enrollment.

The role is full-time, non-exempt, with responsibilities including outreach, eligibility assessment, enrollment scheduling, data entry, and maintaining participant confidentiality. Travel across the Bay Area may be required.

INTAKE COORDINATOR - TEMPORARY TO JUNE 2027

TheIntake Coordinator reports to the Site Manager and is responsible for coordinating eligibility assessment, enrollment, and referral processes across the Contra Costa Workforce Collaborative (CCWC) network. This position determines applicant eligibility for the Workforce Innovation and Opportunity Act (WIOA) program as well as special grant-funded initiatives, and coordinates enrollments and referrals to program staff across America’s Job Center of California (AJCC) and CCWC Access Points. The Intake Coordinator serves as a central point of coordination for intake activities network-wide, ensuring consistent eligibility practices, timely enrollment, and ongoing follow-up contact with participants throughout their program engagement, in service of economically disadvantaged and under-represented populations

This is a full-time, non-exempt position.

RESPONSIBILITIES:

  • Outreach and Recruitment: Identify and develop opportunities to promote Rubicon’s programs and services to community participants and partnering organizations. Facilitate informative workshops on program details and eligibility, both internal/external program information and eligibility workshops. Develop engaging marketing materials and presentations to showcase the resources and services offered by Rubicon, Concord AJCC and CCWC Access Points. Create program marketing materials/presentations to promote Concord AJCC resources and program services. Conduct client orientations outlining program services, eligibility requirements and enrollment procedures. Attend program trainings, partnership meetings, and Rapid Response and community events across the CCWC network for program recruitment and enrollment purposes.Assist participants to identify, select and apply for open positions matching their qualifications. This involves sharing timely employment information and resources and promoting Rubicon’s Job Connect for access to employer job orders and leads.
  • Eligibility Assessment: Assess and determine applicant eligibility for WIOA and special grant-funded programs, applying the appropriate funding-source eligibility criteria for each. Coordinate eligibility assessment activities at the AJCC and across CCWC Access Points to ensure consistent application of eligibility standards network-wide. Support applicants with completion of qualifying documentation required for eligibility determination.
  • Enrollment and Referral Coordination: Coordinate program enrollments and referrals to program staff at the AJCC and across the CCWC network, ensuring timely connection to services. Make determination of program enrollments and coordinate/schedule clients for enrollment activities. Maintain clear communication with clients throughout the enrollment and referral process to provide support and address any potential barriers to program participation.
  • Data Documentation and Reporting: Accurate collection of essential data and information related to job performance. Timely entry of this information into an electronic data system, and the tracking of important program and service-related information for reporting purposes. Adherence to agency standards concerning the type, method and timing of data entry at all points of the eligibility and enrollment process, as well as front end service delivery process with prospective participants and partnering agencies. A demonstrated understanding of privacy protection and data security, ensuring the confidentiality of sensitive and PII throughout all stages of data handling.

COMPETENCIES:

  • Work experience and expertise in the fields of employment services, workforce development or career counseling; must be able to demonstrate working knowledge of best practices for assisting economically disadvantaged and/or other under-represented populations.
  • Strong organizational skills and solid teamwork; interpersonal flexibility and the ability to work successfully with minimal supervision; excellent customer service, communication and group facilitation skills.
  • Must have attention to details. Careful review of participants information to ensure accuracy and completeness, meeting program eligibility requirements.
  • Microsoft Office Suite proficiency including proficiency using databases.
  • This position may require the incumbent to travel efficiently throughout the Bay Area therefore proof of a valid driver license, current auto insurance, and an acceptable Motor Vehicle Report may be required.

COMPENSATION:

  • $25-28/hour
  • Medical, Dental and Vision health plans. Kaiser and Sutter Health options.
  • Paid vacation and sick leave, 13 paid holidays.
  • 4 days paid restorative holiday between Christmas and New Year’s.
