Position Summary

As the Install Coordinator, you will be the central hub of communication and organization for our plumbing and HVAC installation teams. You will schedule and manage installation jobs, coordinate materials and crews, communicate with customers throughout the process, and ensure every job is set up for success.

You will also play a key role in addressing and resolving customer concerns, ensuring a positive experience from start to finish.

Key Responsibilities

• Coordinate and schedule daily and weekly installations for plumbing and HVAC crews
• Communicate clearly with customers to confirm appointments, explain processes, and provide updates or changes
• Handle customer concerns and questions promptly and professionally, working with crews and management to resolve issues effectively
• Ensure all required permits, materials, and equipment are ready before installation begins
• Act as the main point of contact between customers, technicians, management, and suppliers during installations
• Track job progress, resolve scheduling conflicts, and adjust plans as needed to keep projects on time
• Maintain accurate job files, records, and reports for billing and management
• Assist the team in maintaining inventory levels and ordering materials when needed
• Support the crews in the field by responding to questions or issues that arise during the day
• Uphold the company’s high standards of service and professionalism, and ensure customer satisfaction throughout the installation process
  
  

What We’re Looking For

Proven experience in a coordination, scheduling, dispatch, or administrative role (experience in plumbing/HVAC or construction is a plus).

Strong organizational and time-management skills; ability to prioritize and multitask.

Excellent written and verbal communication skills, with a customer-first mindset and the ability to calmly and effectively handle customer concerns.

A team player who thrives in a fast-paced, dynamic environment.

Familiarity with scheduling software, CRM systems, and Microsoft Office Suite.

Knowledge of plumbing and HVAC systems and terminology is a plus (but not required — we can train you).
