Qualifications

• Experience in residential trades (HVAC, plumbing, electrical) required.
• Experience in installation coordination, scheduling or dispatching preferred.
• ServiceTitan or trade experience is a big plus.
• Strong communication and multitasking abilities.
• Proficiency with scheduling software and Microsoft Office.

Responsibilities

• Coordinate and schedule residential HVAC, plumbing, and electrical installs.
• Communicate installation dates, windows, and updates with customers.
• Collaborate with installers, sales, and warehouse to prep jobs.
• Ensure equipment, materials, permits, and docs are ready before install.
• Monitor schedules and adjust as needed.

Ballard Heating, Cooling, Plumbing & Electrical is looking for an experienced Install Coordinator to join our growing team in Lynnwood, WA!

We're looking for someone who understands the fast-paced world of HVAC, plumbing, or electrical installations and knows how to keep technicians, customers, materials, and schedules running smoothly.

What You'll Do

• Coordinate and schedule residential HVAC, plumbing, and electrical installation projects.
• Communicate with customers regarding installation dates, arrival windows, project details, and updates.
• Work closely with installation managers, technicians, sales teams, and warehouse personnel to ensure jobs are ready to go.
• Ensure all necessary equipment, materials, permits, and documentation are prepared before installations.
• Monitor installation schedules and make adjustments as needed.
• Track installation progress and follow up on outstanding items to ensure jobs are completed efficiently.
• Maintain accurate customer records, job notes, and installation information.
• Assist with job closeouts, ensuring documentation and project details are complete.
• Proactively resolve scheduling conflicts, customer concerns, and operational challenges.
• Help improve processes and keep the installation department organized and productive.

What We're Looking For

• Experience in the residential trades industry is required (HVAC, plumbing, electrical, or similar home services).
• Previous experience in installation coordination, scheduling, dispatching, or service operations strongly preferred.
• Service Titan and or Trade experience is a BIG PLUS!
• Strong organizational skills with the ability to manage multiple installations and priorities.
• Excellent written and verbal communication skills.
• Ability to work effectively with technicians, managers, vendors, and customers.
• Comfortable using computers, scheduling software, and Microsoft Office.
• Strong attention to detail and the ability to solve problems quickly.
• A positive, dependable, team-oriented attitude.
• Ability to thrive in a fast-paced environment while maintaining accuracy and professionalism.
