American Fire Protection Group in Jackson, TN is seeking an Inspection Administrator to support inspection operations. This detail-oriented role coordinates work orders, informs customers of schedules, tracks documentation, and submits reports to third-party platforms.

The ideal candidate will thrive in a fast-paced administrative environment, manage deadlines, communicate professionally with customers, and accurately enter data in our service-management systems.

Qualifications

• High school diploma or equivalent; associate degree or additional administrative training preferred.
• Prior experience in administrative support, dispatching, scheduling, customer service, or service operations helps.

Responsibilities

• Review incoming inspection work orders and confirm all required customer, site, and inspection details are complete.
• Create, schedule, assign, and dispatch inspection work orders.
• Coordinate with inspection technicians, field supervisors, and operations personnel to ensure work is assigned appropriately.
• Monitor scheduled work orders and update when inspections are rescheduled or reassigned.
• Maintain accurate work-order status, notes, scheduling details, and customer information.
• Contact customers to confirm scheduled inspection dates, times, site contacts, and access requirements.
• Send inspection confirmations, reminders, notices, and other required communications.
• Respond to customer inquiries related to inspection scheduling and documentation.
• Escalate scheduling conflicts or incomplete information to the appropriate manager.
• Maintain accurate digital files and inspection records per company procedures.
• Track upcoming, completed, overdue, and outstanding inspection reports.
• Prepare basic status reports or scheduling updates for management.
• Other duties as assigned
