Job summary

Beth Israel Lahey Health (BILH) is seeking a Unit Assistant to support inpatient nursing operations by coordinating patient flow, admissions, and administrative activities across the unit. The role ensures timely information exchange, staffing oversight, and adherence to regulatory standards.

You will work with physicians and nursing staff, maintain equipment and records, and participate in staff trainings and meetings to optimize unit performance.

Responsibilities

• Facilitates patient flow through the unit.
• Coordinates admissions with admitting, nursing staff and admission facilitator.
• Assists providers and ensures availability of needed supplies.
• Obtains and communicates information for requested tests and procedures.
• Coordinates registration process for established protocols.
• Responsible for overall coordination of unit assistant staff and administrative activities.
• Participates in planning and oversight of work schedules for optimal utilization of unit assistant staff.
• Assists in development and implementation of systems, policies and procedures to ensure efficient processing of work.
• Utilizes information systems that support unit operations (provider order entry, bed tracking, nursing call system, OneStaff/ payroll) to ensure timely response and accuracy.
• Ensures unit assistant staff training needs are met.
• Serves as a liaison for IS issues.
• Maintains basic competency in troubleshooting printer/copier/fax issues.
• Ensures patients are properly charged for equipment, supplies and outside purchases.
• Coordinates special purchases for patient care needs (e.g. specialty beds).
• Ensures equipment in the unit is maintained and logs kept.
• Performs/monitors activities related to JCAHO.
• Manages the unit-based patient valuables program.
• Investigates lost belongings and maintains tracking logs with summaries.
• Reports unresolved losses to Operations Coordinator.
• Acts as a liaison between physicians and other staff.
• Provides information and responds to inquiries.
• Resolves immediate problems within the department and reports ongoing issues to the nurse manager.
• Maintains integrity of medical records per HIPAA and JCAHO standards.
• Sets up systems to ensure consistency and audits for completeness.
• Responsible for other unit assistant activities and special projects as requested by the Nurse Manager.
• Attends unit staff meetings or other meetings as needed.
