Qualifications

  • 2–4 years of IT Project Coordinator experience.

Responsibilities

  • Coordinate and manage project activities, ensuring collaboration among team members, stakeholders, and resources.
  • Develop and maintain project documentation, timelines, and resource plans; produce progress reports.
  • Facilitate project meetings with well-prepared agendas and clear outcomes.
  • Assist in planning, scheduling, and risk management; track progress and issues.
  • Provide coordination support to the project team and act as a liaison with leadership.
  • Build and maintain stakeholder relationships; support change management and communication plans.
  • Assist in allocating resources and tracking demand and allocations.

Our client is looking for an IT Project Coordinator who will play a pivotal role in supporting successful IT projects and ensuring seamless coordination among team members, stakeholders, and resources. Job Responsibilities
  • Project Coordination: Efficiently coordinate and manage multifaceted project activities, ensuring seamless collaboration among team members, stakeholders, and resources. Act as a central point of contact for project-related inquiries, fostering clear communication and timely resolution of issues to maintain project momentum.
  • Project Documentation and Reporting: Develop and maintain comprehensive project documentation, including detailed project plans, timelines, and resource allocation, to provide a clear roadmap for project success. Generate regular and accurate progress reports, milestones updates, and project status documentation for transparent communication with stakeholders.
  • Meeting Facilitation: Skillfully schedule, organize, and facilitate project meetings, ensuring agendas are well-prepared, and objectives are met efficiently. Conduct effective and engaging meetings that encourage active participation, collaboration, and constructive feedback from team members and stakeholders.
  • Planning and Execution: Assist in development of project plans, including timelines, milestones, resource allocation, and risk management strategies. Coordinate project activities, track progress, and manage project risks and issues.
  • Project Team Support: Provide comprehensive support to the project team by coordinating tasks, facilitating communication, and ensuring smooth collaboration among team members. Act as a liaison between team members, stakeholders, and project leadership, fostering a cohesive and supportive environment for successful project delivery.
  • Stakeholder Management and Communications: Establish and maintain relationships with key stakeholders, including executives, sponsors, accountable leaders, resource managers, external partners, and team members. Manage expectations, solve problems, escal issues, and drive decisions. Create and help execute comprehensive change management strategies and communication plans.
  • Resource Support: Support the project manager in allocating and managing resources across projects and tracking resource demand forecast and resource allocations.
  • Budget Tracking: Track project budget, spending, and reforecast spending regularly throughout project lifecycle.
  • Continuous Improvement: Identify areas for improvement based on lessons learned from completed projects. Foster a culture of continuous improvement, encouraging innovation, process enhancements, and lessons learned to drive operational excellence.
WHAT YOU BRING
  • Education: Associate’s degree and/or equivalent work experience noted below
  • Work Experience: 2 – 4 years of progressive, relevant experience in an IT Project Coordinator role is required. Experience coordinating moderately complex IT projects from beginning to end, assisting with the coordination budget, scope, schedule.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills with the ability to effectively communicate technical concepts to both technical and non-technical audiences.
  • Familiarity and experience working in Smartsheet.
Additional Qualifications
  • Proficient understanding of project management methodologies (Agile, Waterfall, hybrid) and practices.
  • Experience defining business cases, coordinating tasks, managing budgets, and communicating status under the direction of a project manager.
  • CAPM (Certified Associate in Project Management) from the Project Management Institute (PMI) is highly desirable.
  • SAFe (Scaled Agile Framework) certification is highly desirable.
  • Experience with project management tools (MS Project, Smartsheet, Jira, etc.).
  • Basic understanding of IT infrastructure, systems development life cycle (SDLC), and enterprise software implementations is desirable.
  • Enthusiastic team player with a willingness to learn and grow in a dynamic environment.
COMPENSATION AND BENEFITS
  • Hourly range is $30/hr - $40/hr based on shift, experience and qualifications, as well as geographical market and business considerations.
