Job summary

Qualifications

  • Bachelor’s degree in information technology, computer science, business administration, project management, or a related field
  • One to three years of experience coordinating IT projects, technology implementations, office moves, infrastructure projects, vendor activities, or related work
  • Experience managing multiple projects, tasks, vendors, and stakeholders with competing deadlines
  • Basic knowledge of IT infrastructure, including internet services, network connectivity, wireless networks, computers, printers, copiers, phones, cabling, and security systems
  • Experience maintaining project plans, schedules, task lists, status reports, meeting notes, and implementation documentation
  • Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, Teams, and SharePoint
  • Experience with project management platforms such as Smartsheet, Microsoft Planner, Monday.com, or similar tools preferred

Responsibilities

  • Coordinate IT activities for new office openings, relocations, closures, expansions, and other facility-related projects
  • Serve as the primary IT coordination point for Facilities, State Directors, local leaders, internal IT teams, vendors, contractors, and other stakeholders
  • Create and maintain project plans, schedules, implementation checklists, milestones, dependencies, action items, and completion dates
  • Gather and document technology requirements for each location (internet, network, phones, printers, security, cabling)
  • Coordinate ISP activities (service availability, quotes, orders, installation appointments, activation, issue resolution)
  • Coordinate with network, security, and technical support teams to ensure equipment/services are configured, installed, tested, and ready
  • Obtain and compare vendor quotes and support cost-effective solutions meeting requirements
  • Track orders, service requests, shipping, installation, configuration, testing, deployment
  • Confirm completion of all tech requirements before opening/move/closure/go-live
  • Identify risks, issues, delays, dependencies and escalate to leadership
  • Monitor milestones and update schedules and stakeholder expectations
  • Provide timely project status updates and upcoming activities
  • Schedule and facilitate project meetings, vendor calls, readiness reviews, implementation checkpoints
  • Document meeting notes, decisions, actions, owners, due dates and follow up until closure
  • Maintain accurate project records, inventories, vendor info, service details, documentation, and reports
  • Ensure closures include proper cancellation/transfer/removal/disposal of IT equipment
  • Conduct post-implementation reviews to verify service functionality and resolve issues
  • Recommend improvements to processes, templates, checklists, and standards
  • Maintain positive relationships with staff, vendors, contractors, and internal departments
  • Perform other related duties as assigned

Job description

  • Serve as the primary IT coordination point for Facilities, State Directors, local people in charge, internal IT teams, vendors, contractors, and other stakeholders

  • Coordinate internet service provider activities, including service availability, quotes, orders, installation appointments, circuit activation, and issue resolution
  • Coordinate with network, security, and technical support teams to ensure equipment and services are configured, installed, tested, and ready for use
  • Coordinate copier, printer, low-voltage cabling, security, and other technology vendors from initial request through project completion
  • Obtain and compare vendor quotes and support the selection of cost-effective solutions that meet technical and operational requirements
  • Track equipment orders, service requests, shipping, delivery, installation, configuration, testing, and deployment
  • Confirm that all technology requirements are completed before an office opening, move, closure, expansion, or project go-live
  • Proactively identify project risks, issues, delays, dependencies, and resource needs and escalate concerns to the appropriate leadership
  • Monitor project milestones and update schedules, priorities, and stakeholder expectations when delays or changes occur
  • Provide clear and timely project status updates, including upcoming activities, assigned responsibilities, risks, decisions, and completion dates
  • Schedule and facilitate project meetings, vendor calls, readiness reviews, and implementation checkpoints
  • Document meeting notes, decisions, action items, owners, and due dates and follow up until items are completed
  • Maintain accurate project records, office technology inventories, vendor information, service details, implementation documentation, and reports
  • Ensure office closures include the proper cancellation, transfer, return, removal, or disposal of IT equipment and services
  • Conduct post-implementation reviews to verify that services are functioning properly and outstanding issues are documented and resolved
  • Recommend improvements to project processes, templates, checklists, documentation, and implementation standards
  • Maintain positive and professional working relationships with staff, vendors, contractors, and internal departments
  • Perform other related duties as assigned
