Job description

Our client in the government sector is seeking a detail-oriented Project Coordinator to support a large-scale enterprise system implementation initiative. Under the direction of the Project Manager, the Project Coordinator will apply project management methodologies, tools, and best practices to assist with project planning, coordination, documentation, and reporting across multiple project workstreams.

This role is responsible for tracking project activities, maintaining project documentation, supporting communication efforts, and ensuring project tasks remain aligned with established timelines and objectives.

Location Requirement

Local candidates only. This position requires onsite presence.

Contract Term

While the intention may be for long-term engagement, the role is subject to annual budget approvals. The initial contract runs through the end of the current fiscal year and is anticipated to be renewed July 1.

Primary Duties & Responsibilities
  • Coordinate, schedule, and attend project-related meetings.
  • Capture, document, and distribute meeting minutes and action items.
  • Track project documentation, deliverables, and related artifacts.
  • Send follow-ups to ensure project tasks and milestones are completed on schedule.
  • Communicate relevant updates and information to project team members.
  • Maintain documentation and tracking of project risks, issues, action items, and decisions (RAID logs).
  • Assist the Project Manager in developing project documents, presentations, and status reports.
  • Monitor and update project tracking systems with current project status information.
  • Generate reports related to the project work breakdown structure.
  • Assist in documenting project scope and high-level requirements.
  • Tracking IT project activities and tasks for a specific business suite or multiple workstreams.
  • Disseminate updates related to project schedules and timelines.
  • Coordinate quality review sessions and steering committee meetings, documenting key notes and action items.
  • Ensure project documentation and artifacts are stored in the appropriate shared repository.
  • Support the monitoring and communication of project issues, scope changes, variances, and contingencies throughout the implementation lifecycle.
  • Maintain effective working relationships with project stakeholders and team members.
  • Perform additional responsibilities as assigned by management.
Minimum Qualifications
  • Bachelor’s degree in a related field from an accredited college or university and one (1) year of IT-related experience,

OR

  • Associate’s degree in a related field and three (3) years of IT-related experience.

Equivalent combinations of education and professional experience that demonstrate the necessary knowledge, skills, and competencies may be considered.

Preferred Qualifications
  • Experience using Microsoft Project or Microsoft Project Online.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Visio.
  • Strong written, verbal, and presentation communication skills.
  • Excellent organizational, analytical, and problem-solving abilities.
  • Ability to effectively communicate with technical teams, business stakeholders, and leadership.
  • Ability to navigate and resolve conflicts in a collaborative environment.
  • Strong attention to detail with excellent grammar and documentation skills.
  • Ability to manage multiple tasks and priorities simultaneously.
