Job summary

ICM, Inc. in Kansas seeks a Project Coordinator to support industrial construction execution and project setup. You will manage document control, submittals, RFIs, and assist with bid/award processes, ensuring timely communication across departments and field teams.

You will also generate purchase orders, track commitments and deliverables, and help maintain KPI data and project records from startup through closeout. This role requires a valid driver's license and up to 20% travel.

Qualifications

• 2+ years of project coordination or construction administration experience.
• Experience with Microsoft Office Suite required.
• Experience using Procore, Bluebeam, Microsoft D365 ERP, or similar PM/document management systems preferred.
• Experience with Microsoft Project and Planner preferred.
• Must possess a valid driver’s license and be willing to travel up to 20%.

Responsibilities

• Support the Project Manager and project team in all aspects of project execution.
• Coordinate communication among internal departments, field teams, vendors, subcontractors, and customers.
• Prepare project correspondence, meeting invitations, agendas, and meeting minutes.
• Maintain organized project filing systems and current project records.
• Coordinate distribution of drawings, specifications, contracts, schedules, and updates.
• Assist with startup, mobilization, and construction coordination activities.
• Maintain project document registers and tracking logs.
• Process and track RFIs, submittals, transmittals, meeting minutes, and records.
• Ensure proper document version control and retention practices.
• Coordinate vendor/subcontractor documentation and communications.
• Support bid package development and award processes.
