Job summary

Food Bank for New York City is seeking a Public Affairs Operations & Administrative Manager to oversee day-to-day ops for Public Affairs, including government relations, policy, and advocacy. You will manage expenses, schedule high-level meetings, and maintain filing systems with a strong emphasis on accuracy and compliance.

The role requires 2–4 years of related experience, solid calendar management, CRM usage, and ability to collaborate across departments.

Qualifications

  • 2–4 years of relevant professional experience in public affairs, government relations, nonprofit administration, public policy, or a related field.
  • Experience supporting executive-level scheduling, stakeholder engagement, and event coordination.
  • Familiarity with NYC and NY State government structures, budget processes, and advocacy campaigns is desirable.
  • Strong administrative and operational skills, including calendars, invoices, POs, and expense tracking.
  • Experience with CRM systems to track stakeholder engagement and project management tools.

Responsibilities

  • Own day-to-day administrative operations for Public Affairs across government relations, policy, and advocacy.
  • Manage full-cycle department expense administration including invoices and POs in NetSuite.
  • Coordinate scheduling with city, state, and federal officials and agency leadership.
  • Maintain centralized filing and meeting records across SharePoint.
  • Lead Public Affairs calendars and event coordination workflows.
  • Coordinate logistics for meetings with officials and budget advocacy engagements.
  • Serve as liaison with government offices for invitations and follow-ups.
  • Track engagement in CRM systems and report lobbying activities with Finance.
  • Prepare briefing materials to support meetings and proposals.
  • Support events: conferences, lobby days, legislative events, coalitions.
  • Manage data for reporting, KPIs, board reports, and grant reporting.
  • Assist in cross-functional workflows with Marketing, Finance, and Programs.
  • Supervise interns and volunteers to expand capacity.
