Responsibilities

  • Maintain an accurate inventory of equipment across terminals and track assignments.
  • Assist with sourcing and screening driver candidates and coordinating interviews.
  • Process driver paperwork and organize qualification files.
  • Coordinate onboarding logistics and provide first-point contact for questions.
  • Support safety/compliance by tracking renewals and document expirations.
  • Provide cross-functional support to learn end-to-end transport operations.

Description

Position Summary

The IBE Services Specialist is an entry-level role designed to build a broad, working knowledge of ARL transport operations. The position touches equipment and inventory tracking, driver recruiting and onboarding support, and safety and compliance coordination. It is a generalist role and a training ground. The person in this seat learns how the pieces of the network fit together while providing hands‑on support to agents, terminals, and internal teams.

IBEs (independent business entities) are drivers employed by ARL agents, not by ARL directly. This role supports the driver population across the network and helps keep equipment, records, and onboarding running smoothly.

Key Responsibilities
Equipment and Inventory
  • Maintain an accurate inventory of truck boxes, trailers, and related equipment across assigned terminals.
  • Track equipment assignments, transfers, and returns, and reconcile records against physical counts.
  • Document equipment condition, log damage or maintenance needs, and route them to the right team.
  • Support periodic audits and physical inventory checks in the yard.
Driver Recruiting Support
  • Assist agents in sourcing and screening driver candidates to fill open seats.
  • Post openings, manage the applicant pipeline, and coordinate candidate communication.
  • Schedule interviews and conversations between candidates and agents.
  • Maintain recruiting activity records and report on pipeline status.
Driver Onboarding
  • Process new driver paperwork and confirm all required documents are collected and complete.
  • Assemble and organize driver qualification files.
  • Coordinate orientation logistics and set up system and account access for new drivers.
  • Serve as a first point of contact for onboarding questions.
Safety and Compliance Support
  • Assist the Safety and Compliance team with driver qualification file upkeep and recordkeeping.
  • Help track expirations and renewals for CDLs, medical cards, and motor vehicle records.
  • Coordinate drug and alcohol testing scheduling and documentation as directed.
  • Flag missing documents, expirations, or deficiencies to the Safety and Compliance team for resolution.

Note: This role supports and coordinates compliance activity. Accountability for DOT and FMCSA compliance sits with the Safety and Compliance department and the carrier.

General Operations
  • Provide cross‑functional support across transport operations as needs arise.
  • Learn the end‑to‑end flow of the business, from equipment to driver to load.
  • Build working relationships with agents, terminals, and internal teams.

Qualifications
Required
  • High school diploma or equivalent.

  • Clear written and verbal communication.
  • Comfort with data entry, spreadsheets, and standard office software.
  • Ability to manage multiple priorities in a fast‑moving environment.
  • Valid driver license.
Preferred
  • Associate or bachelor degree, or coursework in logistics, supply chain, or business.
  • Interest in a career in transportation, logistics, or operations.
  • Prior exposure to trucking, dispatch, recruiting, or inventory work.
