Job summary

The American College of Physicians in Philadelphia, PA is seeking a Scientific Program Coordinator to support the Instructional Design and Events department. The role focuses on managing detailed program content, records, and logistics for the Internal Medicine Meeting (IMM).

Hybrid position (2 days on-site) with collaboration across MED staff and stakeholders to ensure timely data collection, reporting, and effective coordination of educational materials and faculty needs.

Qualifications

• Associate’s degree and 1–3 years of relevant experience required.
• Bachelor's degree preferred.
• Familiarity with relational databases (e.g., Microsoft Access) or similar software preferred.
• Advanced PC skills including Microsoft 365 and ability to learn new systems.
• Experience working for a membership association is desirable.
• Demonstrates strong verbal and written communication skills with faculty and staff.

Responsibilities

• Provide administrative support for development and implementation of the Scientific Program.
• Prepare reports and mailing lists using data from Scientific Program databases.
• Coordinate production, compliance review, and dissemination of IMM educational materials.
• Assist in coordinating AV and technical equipment needs of IMM faculty.
• Serve as primary coordinator for end-to-end IMM faculty expense reimbursements.
• Coordinate development of IMM session evaluations with CME Compliance and IT; share results with faculty and meeting planners.
• Ensure timely collection of faculty disclosure data via the AAMC Convey Global Disclosure System.
• Provide on-demand IMM faculty data requests at IMSPC meetings.
