Job summary

American College of Physicians, Inc. in Philadelphia seeks a Scientific Program Coordinator to support the Instructional Design and Events department.

The role focuses on producing and maintaining detailed records for IMM content and faculty, serving as the primary liaison with MED, other divisions, and stakeholders to ensure accurate collection and dissemination of scientific program information and logistics. The position is hybrid (2 days on-site) and located in our Philadelphia office.

Qualifications

• Associate’s degree with 1–3 years of relevant experience.
• Familiarity with relational databases (e.g., Microsoft Access).
• Advanced PC skills including Microsoft 365.
• Experience in a membership association is desirable.
• Demonstrates strong verbal and written communication skills.

Responsibilities

• Providing administrative support for development and implementation of the Scientific Program.
• Preparing reports and mailing lists utilizing data from established Scientific Program databases.
• Coordinating production, compliance review, and dissemination of approved IMM educational materials.
• Assisting in coordinating AV and technical equipment needs of IMM faculty.
• Serving as primary coordinator to manage the end-to-end process of expense reimbursement for IMM faculty.
• Coordinating development of IMM session evaluations with the Research and CME Compliance Department and IT for sharing results with faculty and meeting planners, and maintaining a record of historical data for MED.
• Working in conjunction with MED staff to ensure timely and accurate collection of faculty disclosure information via the AAMC Convey Global Disclosure System.
• Providing on-demand requests for IMM faculty data at Internal Medicine Scientific Program Committee (IMSPC) meetings.
