Job summary

University of Michigan’s Psychiatry Department seeks a Research Area Specialist Intermediate – Program Coordinator to lead the Incentives2Quit (I2Q) program, coordinating activities across internal teams, clinical partners, community organizations, funders, and vendors.

You will ensure efficient operations, adherence to funding requirements, and support for program goals while adapting to evolving needs within a high-visibility research project.

Qualifications

• Bachelor's degree in a science field or related area; equivalent combination of education and experience accepted.
• 4–5 years of related experience in program operations or research administration.
• Experience with Redcap, EnrollNow (Ripple), Qualtrics, MiChart, Data Direct and Microsoft Office.

Responsibilities

• Provide day-to-day operational leadership for the I2Q program and coordinate activities to support organizational goals.
• Oversee staff workflow, scheduling, time approval, vacation approval, and operational support.
• Lead team meetings, set priorities, and support process improvements to enhance program effectiveness.
• Serve as a primary contact with clinical partners, community orgs, funders, and internal stakeholders.
• Coordinate partner communications, community engagement, and program presentations.
• Support relationships with stakeholders to advance program goals and implementation.
• Prepare monthly and quarterly reports for funders and stakeholders; ensure accuracy and completeness of deliverables.
• Collaborate with Finance to review program financial information and ensure accurate reporting.
• Oversee data tracking, documentation, and reporting processes for quality improvement and evaluation.
• Coordinate with external software vendors to communicate needs, troubleshoot issues, and support system improvements.
• Ensure activities align with HIPAA, policies, funding requirements, and quality standards.
