Job summary

AKA Search Group is seeking a Transaction Coordinator to support all real estate deals from signed contracts through closing. You will be the hub for sellers, buyers, and title companies, ensuring clear timelines and accurate documentation in a fast-paced, high-volume setting.

You will work with the acquisitions and dispositions teams, maintain system records, coordinate escrow, and manage ongoing transaction updates with a proactive, detail-oriented approach.

Qualifications

• 3–7 years of transaction coordination or related real estate experience.
• Strong organizational skills and the ability to manage multiple transactions at once.
• Emotionally intelligent and proactive communicator with clear written/verbal skills.
• Experience with Podio, Asana, and familiarity with process documentation tools like Scribe.
• In-person at the office from 8:30 AM to 5:30 PM with some flexibility around lunch.

Responsibilities

• Conduct thorough handoffs from the acquisitions team and initiate communication with sellers after contracts are signed.
• Open escrow with title companies and act as the primary point of contact for all transaction parties.
• Manage a pipeline of 35–40 open transactions with clear, consistent communications.
• Oversee timelines and ensure timely submission of documents, addendums, and signatures.
• Maintain records and task management in Podio while referencing Asana for process tracking and using Scribe for SOP documentation.
• Coordinate with dispositions post-assignment to manage buyer communications and expectations.
• Track and verify buyer earnest money deposits, contract deadlines, and closings.
• Communicate professionally with sellers and buyers, resolving issues while maintaining relationships.
