Job summary

ECOnorthwest, a public policy consulting firm headquartered in Portland, OR, is seeking a Proposal Coordinator to support marketing, operations, and business development by creating, coordinating, and submitting responses to RFPs/RFQs and ensuring high-quality marketing materials in line with our style guide.

The role starts at 32 hours per week with potential to grow to 40 hours, depending on business needs and performance.

Qualifications

• Bachelor’s degree in communications, marketing, English, journalism, graphic design, public policy, or related field, or an equivalent combination of education and relevant experience.
• Excellent written, verbal, and facilitation skills.
• Ability to communicate clearly with staff at different levels.
• High level of organization and attention to detail.
• Ability to work effectively under tight deadlines and manage multiple priorities.
• At least one year of experience in proposal coordination, professional-services marketing, grant development, project coordination, technical editing, or a related field.

Responsibilities

• Analyze and interpret RFPs/RFQs to understand client needs.
• Assist in the coordination and preparation of responses, including developing proposal schedules and compliance matrices.
• Coordinate kickoff meetings and communications among proposal team members to discuss strategy, progress, and assignments.
• Collaborate with teaming partners and other external entities as part of the proposal process.
• Help tailor content to client priorities and solicitation requirements.
• Conduct quality assurance checks on proposals, including proofreading for grammar, punctuation, and style consistency, as well as verifying the accuracy of the content.
• Manage final production and on-time submission.
• Close out and archive completed pursuits.
• Support the maintenance of ECO’s internal marketing databases; maintain resumes, project descriptions, references, and other reusable qualifications content.
• Monitor procurement portals and other sources for relevant opportunities.
• Responsibly use emerging technologies, including AI-assisted tools, where appropriate and consistent with firm policy.
