Job summary

NBCUniversal is seeking an organized Production Coordinator in New York to provide administrative production support and assist with show day procedures. You will book travel, obtain permits, secure insurance certificates, manage catering, and coordinate with security and talent teams.

The role requires strong communication, multitasking, and adaptability, with a hybrid schedule and benefits coordinated by NBCUniversal. Collaboration with finance for invoices and procurement is also expected.

Qualifications

• Experience in coordination of staff or events
• Experience working with large number of crew on a TV/Film set is a plus
• Prior experience with Microsoft applications (Outlook, Teams, Excel, etc.)
• Well organized and high attention to detail
• Excellent verbal and written communication skills
• A natural multi-tasker
• Ability to learn quickly and adapt to shifting priorities

Responsibilities

• Provide overall administrative production support and assistance, including detailed involvement in all show day procedures
• Book & Manage guest and remote travel arrangements including flights/cars/hotels
• Assist in obtaining various permitting requirements for shoots
• Procure certificates of insurance for shoots
• Submit catering orders
• Work with security to pre- register in studio guests
• Work with talent assistants for transportation & changes in production schedules
• Confirm hair/make -up/wardrobe bookings
• Help manage daily green room and dressing room assignments
• Compile daily virtual remote needs and resources
• Partner with finance for invoice collection and submission & purchasing/ corporate card charges
• Assist production team in all stages of daily production
