Job summary

Stellent IT LLC is seeking an experienced Project Manager / PMO Support Specialist to strengthen project governance and support IT project managers across Commonwealth-level and agency IT projects. The role focuses on documentation, SharePoint document management, training coordination, IT risk management, reporting, and governance oversight.

Qualifications

• Minimum of 10 years of relevant experience.
• Approximately 15 years of overall IT experience preferred.
• At least 10 years of large project management experience.
• At least 10 years of experience with project management tools.
• At least 8 years of IT risk management experience in a risk manager capacity.
• At least 5 years of documentation creation experience.
• At least 5 years of training experience.
• At least 3 years of SharePoint document management, indexing, and organization experience.
• Proficiency with Microsoft Office, particularly Microsoft Project, Visio, and Excel.
• Experience with project management methodologies, PMO standards, governance frameworks, and project oversight.
• Experience preparing professional documentation, managing organized repositories, and developing and delivering training.
• Required certification: Active PMP from PMI or an accepted VITA project management certification/qualification.

Responsibilities

• PMO Documentation: Create, update, maintain, and publish project management documentation, standards, and user guides.
• SharePoint Management: Manage SharePoint Online document libraries, including document organization, indexing, accessibility, permissions, and governance.
• Training and Development: Develop and deliver in-person and virtual training for IT project managers and supporting staff. Create training materials and documentation.
• IT Risk Management: Support risk identification, risk assessments, mitigation planning, risk reporting, and escalation procedures for Commonwealth-level IT projects.
• Reporting and Analytics: Prepare recurring reports using Microsoft Excel and Power BI, ensuring data accuracy and meaningful insights.
• Project Planning Oversight: Evaluate projects during the Planning phase and provide guidance to ensure readiness for execution.
• Project Governance: Monitor compliance with established governance standards, meeting schedules, reporting requirements, metrics tracking, risk and issue management, and quality assurance.
• Project Plan Reviews: Review project plans for completeness, including tasks, schedules, resources, risks, milestones, checkpoints, and status reporting.
