Job summary

MoxiWorks is seeking a Payroll Specialist to join our Finance team in Bellevue, WA on a hybrid schedule. You will ensure timely, accurate payroll processing for US and global employees, manage changes, maintain records, and address payroll inquiries with exceptional service.

Ideal candidates have 3+ years of payroll experience, proficiency with Rippling, and strong Excel/Data analysis skills. This role supports compliance, audits, and monthly close activities in a fast-paced SaaS environment.

Qualifications

• 3+ years of payroll processing experience in a fast-paced organization.
• Experience with Rippling Payroll strongly preferred.
• Experience with end-of-year (EOY) payroll activities and year-end reporting.
• Experience supporting global or international payroll vendors is a plus.
• Strong understanding of payroll tax regulations and wage and hour compliance.
• Excellent attention to detail with strong analytical and problem-solving skills.
• Advanced proficiency with Microsoft Excel, including formulas and data analysis.
• Ability to manage confidential information with discretion and professionalism.
• Strong communication skills and a collaborative, customer-service mindset.

Responsibilities

• Process semi-monthly payroll accurately and on time for US/global employees.
• Administer payroll changes, including new hires, terminations, promotions, bonuses, commissions, and benefit deductions.
• Maintain employee payroll records and ensure data integrity within payroll and HRIS systems.
• Serve as the primary point of contact for employee payroll questions, providing exceptional customer service and timely resolution.
• Partner with HR and Finance to identify opportunities to improve payroll processes, documentation, and internal controls to increase efficiency and accuracy.
• Reconcile payroll registers, payroll taxes, benefit deductions, and general ledger accounts while partnering with Accounting on month-end close activities.
• Assist with year-end payroll activities, including reviewing and validating W-2s before distribution and supporting payroll audits.
• Ensure compliance with U.S. federal, state, and local payroll regulations, and prepare and file monthly Australian payroll tax returns.
• Support external audits and provide payroll reporting as needed.
• Prepare and post payroll journal entries, accruals, and reclasses for wages, taxes, benefits, bonuses, commissions, and payroll-related liabilities.
• Reconcile payroll registers to the general ledger and support timely month-end close for all payroll-related accounts.
• Partner with Accounting and Finance to ensure payroll costs are accurately coded by entity, department, cost center, and GL account, and provide support for audits and variance analysis
