Job summary

BambooHR is seeking a Payroll Onboarding Intake Coordinator (Temporary) in Utah, hybrid with some in-office days. You will guide clients through onboarding data collection, ensure completeness, and coordinate with downstream teams.

You’ll use AI to improve communications and maintain strict timelines to enable first pay date eligibility. The role emphasizes readiness and momentum, with a fixed-term scope ending February 28, 2027 and potential conversion based on business needs.

Qualifications

• Customer-facing experience with clear timelines and expectations.
• Strong organizational abilities and attention to detail.
• Excellent written and verbal communication with screen-sharing facilitation.

Responsibilities

• Initiate client onboarding intake within 24 hours of assignment and outline steps.
• Guide clients on required onboarding data and how to upload it, with screen-share help.
• Collect and validate onboarding inputs and confirm completeness before handoff.
• Gather signed documents (e.g., 8821, 8655, ACH) and ensure legibility.
• Monitor progress daily and enforce 7-business-day deadline for first pay date.
• Use AI to improve communications while validating outputs against requirements.
• Work with payroll tooling to accelerate guidance and reduce back-and-forth.
• Maintain clear status tracking and ready handoffs to downstream teams.
• Escalate deeper payroll/tax questions per established paths.
• Identify recurring friction and suggest improvements to templates and materials.
• Fixed-term role ending February 28, 2027; possible conversion depending on business needs.
