Job summary

BambooHR is seeking a Payroll Onboarding Intake Coordinator (Temporary) based in Utah for a hybrid schedule. You will be the first post-sale, client-facing touchpoint for Payroll Onboarding, guiding clients to submit onboarding data and documents accurately and on time within a 7-business-day SLA.

The role focuses on readiness and completeness, not tax setup or payroll consulting. You will collect inputs, verify documents (8821, 8655, ACH, etc.), and coordinate with downstream teams to ensure

Qualifications

• Customer-facing experience with ability to build trust and meet timelines.
• Detail-oriented and able to validate document completeness and accuracy.
• Excellent written and verbal communication; able to explain requirements clearly.
• Onboarding, onboarding support, or project coordination experience is a plus.

Responsibilities

• Initiate client onboarding intake within 24 hours of assignment and outline steps.
• Guide clients on required data, documents, locations, and upload methods (screen-share).
• Collect inputs and confirm completeness before handoff.
• Gather and validate signed documents (e.g., 8821, 8655, ACH, BoA Addendum).
• Monitor intake progress daily and enforce the 7-business-day deadline.
• Use AI to improve client communications, summaries, and handoff notes.
• Maintain clear status tracking and handoff notes for downstream teams.
• Escalate payroll/tax questions to the appropriate downstream owner.
• Identify recurring friction points and suggest improvements to templates and checklists.
• This fixed-term role ends on February 28, 2027.
