Job summary

BambooHR in Utah is seeking a Payroll Onboarding Intake Coordinator for a fixed-term hybrid role. You will guide clients through onboarding data collection, ensure 7-business-day SLA, and coordinate with downstream teams to enable clean payroll setups.

The role emphasizes readiness, documentation accuracy, proactive communication, and using AI tools to improve efficiencies while maintaining scope and timelines.

Qualifications

• High school diploma or equivalent required.
• Associate's degree, Bachelor's degree, or equivalent experience preferred.

Responsibilities

• Initiate client onboarding intake within 24 hours of assignment, welcoming the client and outlining required next steps, timelines, and the 7-business-day intake SLA.
• Guide clients through exactly what onboarding data and documents are required, where to locate them, and how to upload them correctly.
• Collect comprehensive onboarding inputs (company/payroll demographics, job/employee data, benefits-related payroll inputs, time off, YTD/QTD data) and confirm completeness prior to handoff.
• Gather and validate required signed documents (8821, 8655, ACH Authorization, Beneficial Owners Addendum, proof, and other authorizations) before handoff.
• Monitor intake progress daily, enforce the 7-business-day deadline, and proactively communicate gaps and due dates to keep first pay date on track.
• Use AI to improve client communications, meeting summaries, intake organization, and handoff notes while verifying AI outputs.
• Utilize payroll-provider tooling to accelerate guidance and reduce back-and-forth when clients are unsure what to provide.
• Maintain accurate status tracking and clear handoff notes for downstream teams, ensuring readiness criteria are met before transition.
• Address intake questions and route deeper payroll/tax questions to the appropriate owner per escalation paths.
