Job summary

HarbourVest Partners is seeking an experienced Associate, Experiential Marketing and Events to support planning and delivery of its global event portfolio, including client events, internal programs, and leadership dinners. The role requires overseeing multiple workstreams, coordinating vendors, and ensuring smooth onsite execution.

The position emphasizes independent work, strong organization, and the ability to manage budgets, timelines, and vendor relationships in a fast-paced environment.

Qualifications

• Bachelor’s degree in marketing, communications, hospitality, event management, or related field.
• 3–5 years of experience in corporate events, hospitality, marketing, conferences, or client-facing programs; financial services background preferred.
• Experience coordinating events from planning through follow-up and independently managing programs/workstreams.
• Familiarity with Cvent or a similar event management platform.
• Experience working with venues, vendors, contracts, budgets, and event logistics.

Responsibilities

• Manage planning and delivery for select events and assigned workstreams within larger in-person, virtual, and hybrid programs.
• Coordinate registration, attendee communications, transportation, accommodations, materials, gifting, and onsite logistics.
• Coordinate with venues, hotels, production teams, vendors, and internal partners for assigned programs.
• Coordinate onsite execution, anticipate needs, resolve issues, and advance decisions as needed.
• Support venue research, event technology, client gifting, sponsorship store operations, and post-event follow-up.
