Job summary

The Oregon State University Foundation, based in Corvallis, Oregon, seeks a Coordinator for the Marketing and Communications Events team. This role provides administrative and operational support for a range of OSU Foundation events, including budgeting, briefing materials, CRM data, calendars and onsite assistance.

You will collaborate with donors, campus partners and vendors, using AI tools to streamline workflows and maintain accurate records.

Qualifications

• Bachelor’s degree and at least three years of experience in event operations, administrative support or a related field, with experience in budget tracking, CRM database use, project coordination and supporting process improvements.

Responsibilities

• Support event operations processes and maintain templates and tools used by event planners across the organization.
• Track budgets and expenditures for events; reconcile and report.
• Prepare briefing materials using established templates and timelines.
• Coordinate CRM lists, mail merges, RSVP tracking and data reporting.
• Update RSVP and attendance data in the CRM; maintain guest lists.
• Provide onsite event support and courteous customer service to donors and guests.
• Assist with debriefs and data analysis using AI tools where appropriate.
• Maintain Asana workspace; monitor deadlines and risks; communicate status to leads.
• Collaborate across teams and calendar management for events.
