Great Hearts Academies is seeking an Enrollment Specialist to join our North Texas-based team. This hybrid role supports the Senior Director of Enrollment with data-heavy tasks, outreach to families, and guiding prospects from inquiry through enrollment.

The role emphasizes Excel-based data management, CRM usage, and strong customer-service skills to educate families about Great Hearts’ model and campuses. Collaboration across departments is essential.

Qualifications

• Bachelor's degree preferred.
• Minimum two years experience as a Texas DCO or Registrar required.
• Experience using student information systems, CRM platforms, or enterprise databases required.
• Advanced Excel in Microsoft Excel skills, including formulas, pivot tables, VLOOKUP/XLOOKUP, data validation, filtering, sorting, conditional formatting, and large dataset management.
• Exceptional computer literacy and ability to quickly learn and navigate multiple software platforms and systems simultaneously.
• Experience managing, organizing, and analyzing large volumes of data while ensuring data integrity and confidentiality.
• Strong analytical and problem-solving skills with the ability to interpret complex datasets and generate actionable insights.
• Excellent interpersonal communication skills and the ability to build strong relationships
• Ability to communicate effectively and professionally with students, parents, co-workers and the public at large
• Thrives in an entrepreneurial, high-growth environment; is comfortable with ambiguity and change
• Seeks and responds well to feedback, which is shared often and freely across all levels of the organization
• Works through silos and forges strong cross-departmental relationships in order to achieve outcomes

Responsibilities

• Works full-time in the office under the guidance of the Senior Director of Enrollment.
• Process, validate, and maintain large volumes of data with high accuracy.
• Utilize advanced Excel functions to support operational needs.
• Navigate multiple software systems and databases for daily tasks.
• Proactively call inquiries and outbound prospects from marketing.
• Provide excellent customer service to prospective families.
• Follow up with interested families and educate them about Great Hearts.
• Track student persistence and progression through the first 30 days.
• Account for all inquiries and activities with prospective families
• Develop relationships with families to build interest in Great Hearts
• Connect families to schools and inform them about tours and events
• Attend community events to inform families and promote brand awareness
• Identify opportunities to promote recruiting efforts
• Contribute to recruiting initiatives and enrollment retention strategies
• Collaborate with Enrollment and Marketing teams to move prospects from application to enrollment
• Support data clean-up and onboarding of newly registered students
• Assist campuses to meet the 11th day enrollment goal
• Performs other related duties as assigned
