Job summary

Kenyon College seeks an Engagement Events Program Coordinator to support events for alumni, parents, and donors across the Advancement Division. You’ll coordinate logistics for Homecoming, Family Weekend, Reunion Weekend, and virtual programs while collaborating with campus partners.

The role requires strong planning, multitasking, and communication skills, with hybrid work opportunities and occasional weekend commitments for marquee events.

Qualifications

• Two year college degree or three years’ experience in planning and organizing large events or projects.
• Strong computer skills are required, including Microsoft Office programs and familiarity with Google office suite, data management, mobile payment, online content management and reservation systems, as well as a willingness to learn new systems.

Responsibilities

• Manage the College’s online event registration system for events of varying size and complexity, often with multiple registrations open simultaneously.
• Respond to all alumni inquiries—via email and phone—regarding event registration, including providing clear guidance, troubleshooting issues, and offering step-by-step support when needed.
• Organize and complete all housing assignments for alumni during reunion weekend.
• Provide logistical support for events, including arranging accommodations, catering, transportation, venue reservations, permits, and special requests as needed.
• Coordinate event materials such as name tags, parking permits, and signage.
• Track and report on event attendance, payments, and expenditures; support post-event surveys and communications.
• Maintain and update event-related content on the Office of Alumni and Parent Engagement web pages.
• Manage the Kenyon Events App, ensuring event information is accurate and accessible.
• Provide technical support for virtual events and online programs.
