Responsibilities

• Order parts, prepare quotes and unit replacement proposals.
• Serve as primary contact for customer service inquiries, complaints, and service agreements.
• Maintain accurate records of service calls, work orders, and technician performance.
• Process payroll, vendor payments, and reconcile accounts using Service Titan.
• Support management with operational analysis and supervising technicians.

Requirements:

• Prior experience in HVAC, mechanical, or trades industry office management strongly preferred
• Proficiency in software (Service Titan or similar preferred)
• Strong understanding of accounts payable/receivable, invoicing, and job costing
• Excellent organizational and multitasking skills in a fast-paced office environment
• Strong communication skills for coordinating between field technicians, customers, and vendors
• Experience with service dispatch or scheduling software is a plus
• High level of accuracy, integrity, and attention to detail
