Job summary

Townsend Energy in Danvers, MA is seeking an HVAC Sales Coordinator to support the sales team from inquiry through installation. You will manage scheduling, follow-ups on estimates, financing, rebates, and daily KPI reporting to improve conversion and customer experience.

The role collaborates with Sales, Service, and Installaton teams to ensure timely, accurate documentation and strong customer communication. On-site, Monday–Friday, 7:30am–4:00pm.

Qualifications

• Strong organizational and time-management skills with excellent attention to detail.
• Excellent written and verbal communication and customer-service abilities.
• Experience in customer service, scheduling, sales support, or admin coordination.
• Ability to collaborate across departments and ensure documentation is complete.
• Proficiency with ServiceTitan or a comparable CRM and Microsoft Office preferred.
• Comfortable preparing reports and working with sales metrics.
• Experience with financing, rebates, or HVAC/home-services industry preferred.
• Able to lift up to 30 pounds.

Responsibilities

• Confirm financing approvals and deposits, customer expectations, scheduling considerations, and special installation requirements.
• Coordinate Technician-Generated Leads (TGLs) with Service Technicians and Dispatchers.
• Monitor and report Sales KPIs daily using ServiceTitan and related systems.
• Provide accurate daily reports to Sales and Installation Managers and highlight trends and progress.
• Manage Sales Team schedules; book, confirm, and reschedule appointments accurately.
• Coordinate sales opportunities from inquiries, technicians, and other lead sources.
• Document appointments and customer details in ServiceTitan and track outstanding estimates.
