Job summary

Great White Mechanical, LLC is seeking an HVAC Office Operations Associate to streamline our administrative workflow and ensure regulatory compliance. You will coordinate dispatch, support the operations team, and serve as a central liaison among customers, technicians, and management.

This role emphasizes organization, clear communication, and proficiency with Service Titan to manage service and installation processes while contributing to process improvements and customer satisfaction.

Qualifications

• High school diploma or equivalent; HVAC knowledge preferred.
• 5+ years of office operations experience in HVAC.
• Excellent communication and organizational skills.
• Proficiency with Service Titan.
• Knowledge of local building codes and permit processes is a plus.

Responsibilities

• Assist in answering customer phone calls, scheduling and dispatching technicians for service calls and installations.
• Provide administrative support to the operations team and management as needed.
• Respond to customer inquiries regarding installations, service, maintenances, warranties, etc.
• Assist the Installation Department and Service Department with daily operations.
• Communicate with local municipalities to ensure adherence to building codes and regulations regarding HVAC Installations.
• Contribute to improving operational processes and workflows.
