Qualifications

• 2+ years of experience in dispatch, scheduling, customer service, office administration, or a similar role.
• Strong verbal and written communication skills.
• Professional and confident phone presence.
• Excellent organization and attention to detail.
• Ability to juggle multiple priorities in a busy environment.
• Comfortable working with computers and adapting to new software.
• High school diploma or GED.

Responsibilities

• Build and manage daily technician schedules.
• Dispatch HVAC technicians based on call priority, location, and availability.
• Contact customers with appointment confirmations, updates, and estimated arrival times.
• Rework schedules throughout the day for emergencies, delays, or additional calls.
• Track follow-up appointments, callbacks, and unresolved service needs.
• Keep customer accounts and service information accurate and up to date.
• Assist with invoices, warranty paperwork, and other service documentation.
• Provide day-to-day administrative support to the Service Manager and field technicians.

We're looking for an organized, responsive HVAC Dispatch / Customer Care Coordinator to help manage the daily flow of residential service calls. You'll play a key role in keeping technician schedules on track, communicating with homeowners, and making sure open service needs don't fall through the cracks.

Your Day-to-Day

You'll help manage the moving pieces behind the scenes so technicians can stay productive and customers know what to expect.

Your responsibilities will include:

Schedule:

Monday–Friday, 7:30 AM–5:00 PM

Occasional overtime may be needed based on seasonal demand.
