Job summary

ABC Mechanical is seeking an HVAC Dispatch Coordinator to manage service orders, coordinate technicians and subcontractors, and handle accounts receivable tasks. You will ensure timely billing, process payments, and keep customers informed on payment status.

The role requires strong organizational skills, proficiency with Netsuite and MS Office, and the ability to communicate clearly with clients and internal teams. In-office position based in Florida.

Qualifications

• Knowledge of construction trades and facilities maintenance requirements.
• Ability to perform intermediate mathematical functions and calculations.
• Excellent administrative and organizational skills with strong written communication.
• Strong time management and ability to prioritize multiple tasks.
• Experience with office software and online documentation management.

Responsibilities

• Dispatch and open service orders, coordinate subcontractors and in-house technicians.
• Utilize Netsuite and Shepherd for service and sales orders processing.
• AP duties: GL coding, track timely payments, and process payments.
• Prepare AR statements and overdue communications on a monthly basis.
• Support with phones, scheduling, dispatching, and coordinating service staff.
