Job summary

Ambient Enterprises seeks a detail-oriented bid coordinator to support outside sales by managing the initial bidding steps and maintaining contact through submission. You will interface with sales, customers, and vendors in a fast-paced environment, using MS Word/Excel/Outlook and reviewing drawings and HVAC specs.

The role requires strong organization, timely bid delivery, and collaboration with multiple teams to ensure accurate, complete proposals.

Qualifications

• Proficiency in MS Word, Excel & Outlook.
• Ability to read mechanical drawings and understand HVAC terminology.
• Knowledge of Enterprise software usage.
• Bachelor’s degree or higher preferred.
• 1+ years’ experience in Mechanical Contracting or related field.

Responsibilities

• Compile a list of bidding opportunities from contractors’ requests, construction websites, and plan rooms.
• Review plans and specifications from architects and engineers to identify bid opportunities.
• Communicate with contractors for clarifications of bidding documents when needed.
• Coordinate with sales team to ensure bids are prepared and sent to contractors.
• Ensure bids are sent out on time and complete.
• Coordinate with other company reps on product lines as needed.
• Enter project information into the company tracking system and keep it current.
• Assist estimators with up-to-date plans, specs, and addenda.
• Complete miscellaneous tasks requested by manager.
