Job summary

Ergon, Inc - Refining & Marketing in Vicksburg, MS is seeking a Human Resources Coordinator to provide administrative and operational support for HR functions onsite. You will assist with recruitment, onboarding, employee records, benefits administration, and payroll data accuracy.

You will collaborate with HR, payroll, and benefits teams to ensure timely processing, maintain compliance, and support refinery employees with scheduling and data updates.

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration (preferred), or equivalent experience.
  • 0–2 years HR or administrative experience, preferably in a corporate environment.
  • Basic understanding of HR policies and employment law fundamentals.
  • Computer experience with Microsoft Windows and Microsoft Office (Outlook, Excel, Word), including ability to learn new programs tied to job responsibilities.
  • Strong communication and organizational skills.
  • Ability to learn and understand basic refining principles related to charge and yield, shift work, and shift scheduling.
  • Ability to work as part of a team to meet projected goals.

Responsibilities

  • Coordinate HR processes and payroll administration for refinery employees.
  • Maintain accurate time and leave records and update HR and payroll systems.
  • Produce monthly reports on overtime, sick leave, attendance, vacation usage, and turnover.
  • Verify timecards and review SchedulePro and e-log submissions for consistency across systems.
  • Act as department administrator for Kronos and SchedulePro.
  • Collaborate with managers to manage vacation scheduling and shift changes.
  • Update Kronos with time, vacation, and sick leave accruals from E-Log reports.
  • Partner with refinery personnel to ensure data timeliness and accuracy.
  • Coordinate with corporate payroll teams to support payroll accuracy.
  • Identify, elevate, and track system issues until resolution.
  • Back up the front desk as needed.

Job description

The Human Resources Coordinator provides administrative and operational support to the Human Resources function at Ergon, Inc - Refining & Marketing. In this onsite role in Vicksburg, MS, you will help coordinate recruitment and onboarding support, maintain employee records, support benefits administration, and ensure payroll-related data is accurate and compliant.

Key Responsibilities

You will support HR processes and payroll administration for refinery employees, including maintaining accurate time and leave records and coordinating updates across HR and payroll systems.

  • Maintain compliance with applicable privacy laws and company policies related to data protection.
  • Track and report payroll and leave activity (vacation, sick, and related items) for hourly personnel.
  • Verify timecards and review SchedulePro and e-log submissions to ensure submitted time is accurate and consistent across systems.
  • Serve as a department administrator for Kronos and SchedulePro.
  • Produce monthly reports covering overtime, sick leave, attendance, vacation usage, and turnover, and distribute them as required.
  • Coordinate with managers and supervisors to manage vacation scheduling, including assigning new employees, changing shift schedules and positions, updating training schedules, and publishing new schedules.
  • Use the employee recap report from E-Log to update Kronos with accurate hourly employee time, vacation, and sick leave accruals.
  • Work with L&D to limit scheduling employees outside their shift.
  • Partner with refinery personnel to ensure the timeliness and accuracy of data provided.
  • Coordinate with corporate payroll teams to support payroll accuracy.
  • Identify, elevate, and track system issues until resolution.
  • Act as a backup to the front desk.
  • Perform other duties as assigned by the HR Manager.
