After 90 days of successful performance, this position may turn into a part-time HR Manager position

About the Role

Our client is a fast-moving small business, seeking a Human Resources Coordinator to oversee HR operations across two companies. This role requires someone who is assertive, a strong delegator, highly organized, and an exceptional communicator.

You’ll work directly with the owner for the first 90 days to streamline onboarding, offboarding, and HR systems, while ensuring compliance and operational excellence. Responsibilities include monthly compliance check-ins across various states and systems, maintaining accurate team contact information, and light involvement in recruiting efforts, such as coordinating candidate communication and maintaining the talent bench. This position is critical for maintaining a strong, audit-ready foundation as we scale.

Key Responsibilities

  • Maintain a pipeline of at least 10 pre-vetted candidates for immediate placement on a federal contract
  • Send weekly check-in emails to bench candidates to ensure availability and engagement
  • Manage and track PTO requests via BambooHR
  • Run weekly PTO reports in BambooHR
  • Attend daily 9:30am ET calls and weekly finance meetings with the owner
  • Ensure accurate data entry, storage, and auditing of HR records in BambooHR
  • Review, update, and improve HR documents, policies, procedures, and templates
  • Track and ensure timely payments of taxes and corporate filings
  • Lead and optimize onboarding and offboarding processes across both companies
  • Conduct monthly state-level compliance check-ins and audits in ADP
  • Maintain accurate employee and contractor contact records
  • Serve as the primary contact for employee and contractor communications
  • Lead onboarding training for new employees and contractors
  • Run candidates through an online background check system
  • Draft and distribute HR policies, announcements, and updates
  • Support recruiting efforts through light coordination and tracking

Qualifications

  • 4+ years in HR
  • Experience with BambooHR, ADP, Harvest, and ATS
  • Excellent communication, writing, and problem-solving skills
  • Proven ability to delegate, follow up, and follow through
  • Knowledge of employment law, multi-state compliance, and HR best practices
  • Ability to handle confidential data professionally and discreetly
  • Bonus: Experience with AI tools like ChatGPT
