Job summary

Immatics seeks an organized Human Resources Coordinator to support recruiting, onboarding, employee records administration, compliance, and vendor management. You will partner with HR, Talent Acquisition, Payroll, Finance, Facilities, IT, and hiring managers to deliver a seamless employee experience.

The role requires a detail-oriented professional who thrives in a fast-paced environment and delivers exceptional service and operational excellence.

Qualifications

  • Associate’s or Bachelor's degree in HR, Business Administration, or related field.
  • 2+ years of experience in HR, recruiting coordination, onboarding, HR administration, or related admin support.
  • Experience with HRIS/Workday preferred.
  • Experience coordinating interviews and scheduling calendars.
  • Knowledge of Form I-9 processing, E-Verify, and compliance.
  • Proficiency in Microsoft Office, including intermediate Excel.
  • Strong organizational skills and data accuracy.
  • Ability to handle confidential information with professionalism.

Responsibilities

  • Coordinate requisition setup and support recruiting activities in Workday.
  • Schedule candidate interviews and manage interview logistics.
  • Prepare offer letters and employment-related documentation.
  • Manage background checks, drug screenings, and pre-employment requirements.
  • Serve as a primary point of contact for candidates throughout the hiring process.
  • Coordinate onboarding activities with HR, IT, Payroll, Facilities, and hiring teams.
  • Maintain accurate candidate and new hire records and track onboarding completion.
  • Support employer registrations in new states and payroll setup.

You will playan important rolein supporting the full employee lifecycle while partnering across HR, Talent Acquisition, Payroll, Finance, Facilities, IT, and hiring managers throughout the organization.

Job Type: Full-Time |Onsite

Basic Qualifications:

  • Associate’s orBachelor’s degree in Human Resources, Business Administration, or a related field preferred
  • 2+ years of experience in Human Resources, recruiting coordination, employee onboarding, HR administration, or a related administrative support function

Preferred Qualifications:

  • Experience working with an HRIS and/or Applicant Tracking System (ATS); Workday experience strongly preferred
  • Experience coordinating interviews, scheduling complex calendars, and managing hiringlogistics
  • Knowledge of Form I-9 processing, E-Verify, and employment eligibility compliance
  • Proficiencyin Microsoft Office, including intermediate Excel skills (sorting, filtering, formulas, and reporting)
  • Strong organizational skills with the ability to manage multiple recurring deadlines andmaintainaccuraterecords
  • Ability to quickly learn new processes, systems, and technologies
  • Strong attention to detail and commitment to data accuracy
  • Excellent written and verbal communication skills
  • Ability to handle confidential and sensitive information with professionalism and discretion

What You’ll Do:

Recruiting & Onboarding

  • Coordinate requisition setup and support recruiting activities in Workday
  • Schedule candidate interviews and manage interviewlogistics
  • Prepare offer letters and employment-related documentation
  • Manage background checks, drug screenings, and pre-employment requirements
  • Serve as a primary point of contact for candidates throughout the hiring process
  • Coordinate onboarding activities with HR, IT, Payroll, Facilities, and hiring teams to ensure a seamless new hire experience
  • Maintainaccuratecandidate and new hire records and track onboarding completion

HR Operations & Compliance

  • Support employer registrations in new states and partner with Payroll on related setup activities
  • Complete andmaintainForm I-9 and E-Verify processes, including reverifications and periodic audits
  • Process employee data changes andmaintainaccurateemployee records within Workday
  • Support HR compliance initiatives and ensure adherence toestablishedpolicies and procedures

Procurement & Vendor Administration

  • Support HR vendor management, contract administration, and SOW tracking
  • Create purchase orders, coordinate approvals, and process HR invoices
  • Maintain invoice and vendor tracking processes to ensuretimelyandaccuratepayments
  • Partner with Procurement, Finance, and external vendors to resolve billing and payment discrepancies
