Job Title: HR Assistant
Duration: 06-12 Months Contract
Pay Rate: $21 per hour on W2, without benefits/no holidays/no vacation
Job Description:
Under general supervision, the Human Resources Assistant performs a variety of specialized administrative and clerical duties to support the Human Resources function. Responsibilities include maintaining employee data in HRIS and Payroll Systems, creating and managing confidential employee files, providing benefit information, and processing HR transactions. The role requires general HR knowledge, advanced administrative skills, and the ability to maintain detailed records.
Key Duties:
- Maintain personnel files and process staffing changes via HR workflows using HRIS software.
- Handle documentation for new hires, including I-9 compliance and E-Verify procedures.
- Support talent acquisition activities, such as background checks and DMV reports.
- Assist with employee terminations and respond to EDD claims.
- Provide excellent customer service to employees and managers from onboarding to offboarding.
- Support HR administrative tasks, including managing purchase orders, scheduling meetings, mail distribution, and office supplies.
- Respond to HR inquiries and advise on policies and procedures.
- Order and distribute labor law posters annually.
- Coordinate HR projects, prepare reports, and assist with events and final paycheck processing.
- Enter detailed HR and payroll data, including new hires, benefits, and personal information updates.
- Assist reception by answering calls, greeting visitors, and verifying employment data.
- Maintain active and terminated employee files and confidential documents.
- Manage HR-related supplies and benefit materials.
- Administer vendor accounts, purchase requests, and invoices.
- Provide general administrative support, including mail routing, office supplies, travel arrangements, and mailing packages.
- Perform other duties and special projects as assigned.
Minimum Qualifications:
- 2-3 years of experience providing customer service and clerical support, preferably in HR.
- Effective communication skills, both verbal and written.
- Proficiency with business software, internet, and data entry.
- Strong interpersonal skills and ability to build effective relationships.
- Problem-solving skills and good judgment.
Physical and Work Environment:
Work is performed in a typical office setting with limited privacy. Must be able to perform physical tasks such as viewing screens, using a keyboard, and answering phones for extended periods.
