Job Summary
The Human Resources Assistant plays a critical front-line role supporting daily HR operations, office administration, and reception activities. This position requires hands-on experience executing core HR administrative and transactional tasks, while serving as an initial point of contact for employees, visitors, and walk-in candidates.
Essential Functions
Reception & Office Administration
- On-site attendance at our Barceloneta office, Monday through Friday from 8:00 a.m. to 5:00 p.m.,
- Manage front-desk activities by serving as the first point of contact for visitors, employees, and walk-in candidates, including greeting individuals, responding to inquiries, and directing them to the appropriate department or contact.
- Review the Open Requisition Log with walk-in candidates visiting the office to identify potential position matches and refer candidates to the appropriate recruiter.
- Complete ‘intake forms' with walk-in candidates and attach completed forms to resumes for proper distribution to the appropriate recruiter.
- Manage office communications and telephony administration, including weekly oversight and distribution of the general voicemail, coordination of VOIP (Leo) phone line activations and deactivations, and serving as a liaison with IT as needed.
- Coordinate office mail operations, including receiving, distributing, and sending correspondence, as well as processing official documentation received via regular mail.
- Support office operations, including vendor management, sourcing and coordinating office supplier services and invoicing, and managing office supply and grocery orders.
- Coordinate onsite and offsite activities, including office workshops, trainings, team-building and extracurricular activities, and other employee events, providing logistical and administrative support as needed.
- Serve as a liaison to support the activation and deactivation of employee reimbursements and assist employees with expense submissions as needed.
- Serve as the point of contact for employee gift, award, and/or recognition initiatives, ensuring alignment with internal policies and the SPECTRAFORCE Global Gift Policy.
Human Resources & Benefits Operational Support
- Provide administrative and transactional support to the Human Resources and Benefits departments by assisting with day-to-day processes, documentation, employee inquiries, and related operational tasks, as assigned.
- Assist with internal communications, announcements, documentation distribution, employee follow-ups, and coordination of HR & Benefits programs and processes.
- Maintain, review, and update HR and Benefits data across HRIS tools and internal platforms, ensuring employee records, trackers, and documentation are accurate, properly organized, and audit-ready.
- Respond to related inquiries by providing accurate information or routing matters to the appropriate HR or Benefits team member.
- Provide operational and transactional support for Human Resources matters, including reporting, tracker updates, performance evaluations coordination, job description updates, employment status changes, HR check-ins, and onboarding and offboarding administrative support, under guidance.
- Coordinate Employee Relations interviews and meetings, provide logistical and documentation support, and assist with related HR activities, as needed.
- Provide operational and transactional support for Benefits-related matters, including reporting, tracker updates, time-off forms and payroll tickets, medical plan administration support, leaves coordination, and 401(k) administrative support, under guidance.
- Ensure compliance with confidentiality, data privacy, and internal policies and procedures at all times.
- Perform other duties assigned.
Required Knowledge, Skills, and Experience
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Fully bilingual (English and Spanish), with strong written and verbal communication skills.
- Proficiency with Microsoft Office tools (Word, Excel, Outlook) and ability to quickly learn HR systems and internal platforms.
- Ability to manage multiple administrative and transactional tasks simultaneously in a fast-paced environment.
- Strong interpersonal skills and customer-service mindset, with the ability to interact professionally with employees, candidates, and visitors.
- High level of organization, strong attention to detail, and ability to learn quickly.
- Demonstrated accuracy, discretion, and professionalism in handling confidential information.
Preferred Requirements
- Exposure to Human Resources, Benefits, office administration, or related administrative support roles.
- Staffing or agency experience.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer in close range.
- Must be able to lift up to 25 pounds occasionally.

- Ability to travel up to 25% of the time.
