Job Summary:
The Employee Care Timecard Coordinator (ECS) is responsible for building strong relationships with employees and enhancing the “Human Connect” in the workplace.
Essential Functions:
- Serve as a professional representative of SPECTRAFORCE, ensuring a positive impression on all employees.
- Build relationships with employees to enhance the “Human Connect.”
- Take full ownership of employee needs and concerns to achieve prompt and satisfactory resolutions.
- Collaborate with internal and external stakeholders to address employee inquiries.
- Maintain confidentiality when handling sensitive information.
- Escalate unresolved matters in a timely manner and ensure resolution.
- Send welcome emails to new hires every Wednesday, with follow-ups on Friday.
- Assist the payroll team in auditing timesheets and identifying missing timecards.
- The Payroll team will notify Employee Care (EC) via email regarding any missing timecards, with the Client Service Associate (CSA) copied.
- Processes time-off request forms for paid licenses on a weekly basis.
- Analyze timesheet for holiday eligibility and send official list to payroll department for its respective processing
- Manage contingent workforce payroll inquiries and adjustments with support from the payroll department.
- Understand client-specific attendance policies and administer related disciplinary actions as required.
- Maintain real-time updates in tracking logs and SN, as attendance policies are time sensitive.
- Notify employees of Spot Awards, congratulate them, and provide payment details along with a recognition certificate via email.
- Update direct deposit details, address, phone number, and emergency contacts in SN, creating payroll tickets.
- Provide Paychex setup instructions in the welcome email and assist employees if required.
- Process garnishments, jury duty (refer to SOP), and stop payment requests by creating SN tickets for Payroll.
- Manage employment certifications not related to the Department of Labor (DOL), such as certification of employment and unemployment claims.
- Provide employees with updated vacation and sick balances upon request. Sick balance is only disclosed for scheduled medical procedures.
- Respond to inquiries about medical insurance and 401K eligibility and refer eligible employees to Benefits.
- Handle initial requests and refer to the corresponding departments cases such as FMLA, SINOT, CFSE (workers' compensation), ADA, non-ADA accommodations, and other licenses, sending details to Benefits and cc'ing CSA.
- Celebrate birthdays, work anniversaries, and major life events (e.g., birth of a child).
- Perform other duties assigned.
Required Knowledge, Skills, and Experience:
- Minimum of (1) year in similar role with transferable skills.
- Skill in Data analysis, attention to detail and able to work multiple tasks simultaneously.
- Proficiencies in Spanish and English.
- Works independently needs to have strong time management skills.
Preferred Requirements:
- Staffing or agency experience.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer in close range.
- Must be able to lift up to 25 pounds occasionally.
Travel Requirements:
- Ability to travel up to 25% of the time.

This position's pay range is $13.00/Hourly - $13.50/Hourly.
