Qualifications

  • 2 years of experience in Human Resources, HR administration, office administration, or related field preferred.

Responsibilities

  • Maintain accurate and confidential employee personnel files and HR records.
  • Organize, maintain, and audit HR documentation to ensure records are complete, current, and compliant.
  • Support required HR compliance filing, record keeping, reporting, and documentation.
  • Assist with maintaining I-9s, acknowledgments, forms, and other required employment documentation.
  • Maintain organized electronic and physical filing systems while ensuring appropriate access to confidential information.
  • Assist with audits and compliance-related projects as needed.
  • Stay informed of company policies and HR procedures and help ensure consistent application.
  • Coordinate and support the employee onboarding process, ensuring new hires have the necessary paperwork, information, and resources to begin employment successfully.

Job description

The HR Administrator is responsible for maintainingaccurate employee records, supporting HR compliance, coordinating onboardingand offboarding activities, and assisting with day-to-day HR operations. Theideal candidate is extremely organized, detail-oriented, approachable, andtrustworthy, with the ability to handle sensitive information with a highlevel of confidentiality and professionalism.

This position serves as a key resource foremployees and managers while helping ensure HR processes, documentation, andrecords are accurate, timely, and compliant with company policies andapplicable employment regulations.

Role and Responsibilities

HR Administration & Compliance

  • Maintainaccurate and confidential employee personnel files and HR records.
  • Organize,maintain, and audit HR documentation to ensure records are complete, current,and compliant.
  • Supportrequired HR compliance filing, record keeping, reporting, and documentation.
  • Assistwith maintaining I-9s, acknowledgments, forms, and other required employmentdocumentation.
  • Maintainorganized electronic and physical filing systems while ensuring appropriateaccess to confidential information.
  • Assistwith audits and compliance-related projects as needed.

Onboarding & Offboarding

  • Coordinateand support the employee onboarding process, ensuring new hires have thenecessary paperwork, information, and resources to begin employmentsuccessfully.
  • Assistwith new hire documentation, HRIS setup, required forms, and employeecommunications.
  • Coordinateonboarding activities with managers and other departments.
  • Completethe offboarding process, including required documentation, terminationpaperwork, system updates, and coordination with appropriate departments.
  • Ensureemployee records are updated accurately throughout the employee lifecycle.

Benefits Administration & Support

  • Assistwith new hire, annual, and qualifying life event benefits enrollment,including employee communications, required documentation, and timely updatesto HRIS and benefit systems.
  • Serveas a resource for employees regarding benefit eligibility, enrollment,deductions, and general benefit questions, escalating complex issues asneeded.
  • Assistwith reviewing benefit invoices and enrollment records for accuracy andpartner with Accounting on benefit invoice reconciliation and resolvingdiscrepancies.

Employee Support

  • Serveas a friendly and professional first point of contact for routine employee HRquestions.
  • Assistemployees with questions regarding HR processes, policies, benefits,timekeeping, and other general HR matters.
  • Respondto employee questions promptly and professionally while maintainingappropriate confidentiality.
  • Escalatecomplex, sensitive, or policy-related matters to the appropriate HR teammember.
  • Helpcreate a positive employee experience through consistent, helpful, andprofessional HR support.
  • Assistwith monitoring and maintaining accurate time and attendance records.
  • Reviewtimekeeping information for accuracy and assist with resolving discrepancies.
  • Workwith employees and supervisors to address timekeeping questions orcorrections.
  • Maintainappropriate documentation related to attendance and timekeeping.

General HR Support

  • Assistthe HR team with employee communications, reports, projects, andadministrative needs.
  • Maintaina high level of accuracy and attention to detail in all HR-related tasks.
  • Assistwith HRIS data entry and maintaining employee information.
  • Supportemployee engagement activities and other HR initiatives as needed.
  • Handlesensitive employee and company information with discretion and strictconfidentiality.
  • Answerand direct incoming phone calls in a friendly, professional, and timelymanner.
  • Performother duties and special projects as assigned.
