Position Summary

The HR Administrator is responsible for maintaining accurate employee records, supporting HR compliance, coordinating onboarding and offboarding activities, and assisting with day-to-day HR operations. The ideal candidate is extremely organized, detail-oriented, approachable, and trustworthy, with the ability to handle sensitive information with a high level of confidentiality and professionalism.

This position serves as a key resource for employees and managers while helping ensure HR processes, documentation, and records are accurate, timely, and compliant with company policies and applicable employment regulations.

Role and Responsibilities
HR Administration amp; Compliance
  • Maintain accurate and confidential employee personnel files and HR records.
  • Organize, maintain, and audit HR documentation to ensure records are complete, current, and compliant.
  • Support required HR compliance filing, record keeping, reporting, and documentation.
  • Assist with maintaining I-9s, acknowledgments, forms, and other required employment documentation.
  • Maintain organized electronic and physical filing systems while ensuring appropriate access to confidential information.
  • Assist with audits and compliance-related projects as needed.
  • Stay informed of company policies and HR procedures and help ensure consistent application.
Onboarding amp; Offboarding
  • Coordinate and support the employee onboarding process, ensuring new hires have the necessary paperwork, information, and resources to begin employment successfully.
  • Assist with new hire documentation, HRIS setup, required forms, and employee communications.
  • Coordinate onboarding activities with managers and other departments.
  • Complete the offboarding process, including required documentation, termination paperwork, system updates, and coordination with appropriate departments.
  • Ensure employee records are updated accurately throughout the employee lifecycle.
Benefits Administration amp; Support
  • Assist with new hire, annual, and qualifying life event benefits enrollment, including employee communications, required documentation, and timely updates to HRIS and benefit systems.
  • Serve as a resource for employees regarding benefit eligibility, enrollment, deductions, and general benefit questions, escalating complex issues as needed.
  • Assist with reviewing benefit invoices and enrollment records for accuracy and partner with Accounting on benefit invoice reconciliation and resolving discrepancies.
Employee Support
  • Serve as a friendly and professional first point of contact for routine employee HR questions.
  • Assist employees with questions regarding HR processes, policies, benefits, timekeeping, and other general HR matters.
  • Respond to employee questions promptly and professionally while maintaining appropriate confidentiality.
  • Escalate complex, sensitive, or policy-related matters to the appropriate HR team member.
  • Help create a positive employee experience through consistent, helpful, and professional HR support.
Time amp; Attendance
  • Assist with monitoring and maintaining accurate time and attendance records.
  • Review timekeeping information for accuracy and assist with resolving discrepancies.
  • Work with employees and supervisors to address timekeeping questions or corrections.
  • Maintain appropriate documentation related to attendance and timekeeping.
General HR Support
  • Assist the HR team with employee communications, reports, projects, and administrative needs.
  • Maintain a high level of accuracy and attention to detail in all HR-related tasks.
  • Assist with HRIS data entry and maintaining employee information.
  • Support employee engagement activities and other HR initiatives as needed.
  • Handle sensitive employee and company information with discretion and strict confidentiality.
  • Answer and direct incoming phone calls in a friendly, professional, and timely manner.
  • Perform other duties and special projects as assigned.
Qualifications, Education, Requirements, Preferred Skills
  • 2+ years of experience in Human Resources, HR administration, office administration, or a related field preferred.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Friendly, approachable, and professional communication style.
  • Strong written and verbal communication skills.
  • Comfortable interacting with employees at all levels of an organization.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient with Microsoft Office, particularly Outlook, Word, and Excel.
  • Experience with an HRIS, timekeeping, or payroll system preferred.
  • Working knowledge of basic HR practices and employment compliance requirements preferred.
  • Ability to work independently while also being a dependable member of the HR team.
