Job summary

Lightspeed Systems is seeking an HR Operations Specialist to own and optimize our HR systems, records, and workflows. You will standardize processes, ensure data accuracy, and scale our HR operations across onboarding, offboarding, and compliance while leveraging AI to improve efficiency.

The role emphasizes building SOPs, maintaining personnel files, and supporting recruiting and reporting. A hybrid schedule at our Austin HQ is required, with occasional on-site work.

Qualifications

• 3–5 years in HR admin/HR ops with systems ownership.
• Strong experience with HRIS/ATS and data integrity.
• Attention to detail; documentation-first approach.
• Knowledge of I-9, FMLA/leave basics, recordkeeping.
• Self-starter with fast, independent learning; minimal handholding.
• Comfort with HR tech and AI; curious about tools like Claude/ChatGPT.
• Clear, precise written communication for policies and SOPs.
• Experience building scalable HR processes and SOPs.

Responsibilities

• Own HR systems and data integrity end-to-end (HRIS/ATS).
• Administer employee lifecycle: onboarding logistics, offboarding, files.
• Own compliance recordkeeping: I-9/E-Verify, postings, audits, ACA/EEO support.
• Administer benefits and leave logistics; reconcile vendor invoices and leave docs.
• Build and document HR processes; create SOPs and repeatable workflows.
• Support recruiting operations: post jobs, schedule interviews, issue offers, background checks.
• Produce HR reporting: headcount, turnover, compliance dashboards.
• Leverage AI tools to draft communications, summarize data, and template building.
