Job summary

VCU Health Systems is seeking an HR Onboarding Coordinator to ensure a smooth new-hire experience, manage paperwork, and support eligibility verification. You will engage with candidates, hiring managers, and cross-functional teams to drive timely onboarding and compliance across the organization.

The role emphasizes strong organizational skills, attention to detail, and the ability to handle high volumes in a fast-paced health system environment. In-person work location is required.

Qualifications

• Experience in HR or HR-related roles with knowledge of employment laws and regulations.
• Strong ability to manage multiple onboarding projects simultaneously.
• Proficiency in data analysis and reporting using Excel.
• Familiarity with HRIS and applicant tracking systems.
• Excellent communication with candidates, managers and teams.

Responsibilities

• Oversees new hire paperwork including background checks and work authorization forms.
• Verifies I-9 documents and submits background/work authorization records via vendors.
• Conducts remote or in-person verification of employment eligibility documentation.
• Maintains I-9 forms securely and manages supporting documents.
• Captures badge photos and uploads to the appropriate database.
• Performs background checks through Virginia State Police or other providers as required.
• Ensures forms and signatures are completed accurately and timely.
• Assists candidates with onboarding questions and steps.
• Represents the organization to staff, patrons, and visitors as needed.
• Participates in special projects to support the HR mission and processes.
