Job summary

A&I Distributors is seeking an HR Specialist in Billings to run day-to-day people operations. You will oversee hiring, onboarding, payroll support in Paylocity, benefits administration, employee records, and multi-state compliance. Montana rules form the base; state-specific requirements follow the employee work location.

This hands-on role requires collaboration with branch managers and ownership to keep customers, inventory, and deliveries running smoothly.

Qualifications

• Three or more years in HR operations, payroll support, or a combined office-manager / HR role in a multi-location or hourly-heavy company.
• Hands-on Paylocity experience: new hire setup, changes, payroll prep, deductions, PTO questions.
• Working knowledge of Montana employment law, especially final pay and wrongful discharge acts.
• Comfort with confidential information and ability to coach a manager without making legal calls.
• Microsoft 365 fluency: Outlook, Excel, Word, SharePoint, Teams.
• Valid driver’s license and occasional branch visits; Billings is home base.

Responsibilities

• Talent and onboarding: post roles, screen applicants, schedule interviews, coordinate offers; onboard new hires and maintain job descriptions; standardize offboarding process.
• Payroll support and time: administer Paylocity, prepare payroll for review, watch timesheets and exception reports, apply state leave rules, assist with year-end items.
• Benefits and employee records: manage medical/dental/vision benefits in Paylocity, open enrollment, handle claims questions, maintain confidential personnel files.
• Compliance and employee relations support: maintain Montana employment practices, update state rule sheets, support workers’ compensation and OSHA handoff, coach managers on documentation and discipline, escalate risk issues to ownership.
• Coordinate required trainings (harassment prevention, safety) and keep records.
• Support background checks, drug screening, DOT driver-file handoff; HR owns process; operations owns content.
